Haute Route Project Manager Assistant (Stage Lausanne)

The Haute Route Project Manager Assistant will be working across the following events, within our Outdoor Sports team: https://www.hauteroute.org/ • Haute Route Dolomites 2019 (3 day event) • Haute Route Alpe d’Huez 2019 (3 day event) • Haute Route Pyrenees 2019 (7 day event) • Haute Route Alps 2019 (7 day event) • Haute Route Stelvio 2019 (3 day event) • Haute Route Ventoux 2019 (3 day event) • Possibly other events

Principales responsabilités

Haute Route Internal logistic assistant


Manage before, during and after the events a permanent and temporary team of around 100 people per event.

The assistant will help the Project Manager across the following tasks:

 Hotel Management

• Be the main contact with hotels

• Manage invoices and payment follow-up

• Handle specific requests

• Updates Quotas

• Share and manage rooming lists

• Start hotel booking for the following year

 Coordinate HR permanent team

• Assist with the production of internal shared documents

• Assist with the rooming list production

• Assist with the preparation of presentations, staff roadbooks, printings and postages

 Coordinate HR temporary team

• Help with the team’s logistics to/from/on events

• Assist with local relationships and temporary event staff recruitment

• Assist with contracts and payslips

 Logistics before event and on event

• Attend events to be on-site support to the event Project Manager with all the Internal Logistics tasks: check hotels, prepare staff kits, welcome temporary staff and provide them support (expenses reimbursement for example)

• Assist with vehicle rentals

• Assist with meals’ organisation

• Assist with expenses and invoices processes pre and post-events

 Other

• Attend promo tours and other rider events periodically

This list is not exhaustive and you will be required to manage any reasonable tasks as and when required.

Note: This role will require frequent travel to national and international events.

Profil et compétences


· Fluent English

· Fluent French

· EU or Swiss National, or a relevant work permit

· Excellent organisational skills, self-motivated personality with the ability to work to tight deadlines, cope with event pressure and effective time management

· Excellent interpersonal and communications skills, both written and oral

· Good knowledge of the sports marketing industry, especially cycling

· Able to take instruction and work well within a small and hard-working team

· Good knowledge of computer software (Word, Excel, Keynote/Mac) etc

· Love of sport and outdoor events

· Driving licence essential

· Ability and willingness to travel extensively


• A ‘Convention de stage’ or formal agreement through your educational provider is mandatory 
for non Swiss citizens

• You will be given a monthly allowance of 800 CHF

• 20 working days holiday for a 12-month internship, this holiday entitlement would be allocated on a pro-rata basis to 10 days for a 6-month internship

• For internships of 3 months or more we will reimburse the full cost of a CFF card. The card entitles you to a 50% discount on train tickets

• Normal office hours are between 0900 and 1800 however during the events or busy periods, you may be expected to work evenings and weekends

• Travel, accommodation and subsistence are covered for approved business travel, in line with current company policies
