Rider Accommodation & Services Coordinator

The Rider Services & Accommodation Coordinator holds primary responsibility for the planning and management of extra services that will enhance the riders experience for all Haute Route events in Europe. The post holder will be mainly responsible for overseeing the booking and management of accommodation packages for riders, which is a key success factor of the event and a major source of income for the organiser.

The Rider Services coordinator will support the Client Sales & Services Managers planning and delivering an exceptional client experience and first-rate client service.

The role will encompass, but will not be restricted to, the following responsibilities:

  • Conducting detailed research of all accommodation locations/venues
  • Creation of attractive types of accommodation packages fitting rider needs
  • Development of dedicated Packages for specific groups
  • Management including booking, invoicing and rooming list creation
  • Working to pre-determined budgets on each of our events
  • Developing supporting tool for management of datas
  • Management of associated services included (but not limited to) Airport Shuttles
  • Recruitment of on-site extra services support staff
  • Being the main point of communication with participants for all accommodation or extra services related matters
  • Managing Internal Logistics for staff attending the events
  • Overall support to the Rider Experience & Services Department

Personal Specification

  • EU or Swiss national
  • Driving license is mandatory
  • English and French are mandatory, and ideally conversational Italian
  • At least one year’s relevant accommodation management experience
  • A passion for sport (especially cycling) is an added value
  • Ability and willingness to travel
  • International awareness, sensitivity to foreign cultures and sufficient etiquette and presence to liaise with high level sponsors
  • Excellent analytical skills, comfortable with numbers and statistics
  • Good budgetary management and financial acumen
  • Great sense of team work which carries through under pressure
  • Excellent organisational skills and self-motivated personality
  • Ability to work to tight deadlines, cope with event pressures, and manage time effectively
  • Excellent communicator, both written and verbal, and confident in networking and liaising effectively with both internal and external parties (in English and French)
  • An understanding of the workings of a small, dynamic company and the need to work to tight time schedules and budgets
  • A working knowledge of Microsoft office packages (especially Excel), ideally for Macs
